How It’s Done: from Conception to Completion

Planning, Estimating, Proofs, Contracts, Pre-Con, Milestones, Implementation, The Event, Aftermath, Preparing For Your Next Event

When an attendee walks into your event, our goal is to make them stop and think  “Wow! This is amazing.” They will probably never stop to think about all the planning and work that went into making it so amazing.  When it comes to making an event shine, we are the best in the field.  We are willing to plan for months and even years sometimes to make events flawless, all for that moment of awe from the people who walk into your meeting and the resulting support for your message.

When a potential client comes to us with an idea for a production, we start working immediately on the preparation process. First, we ask questions about the basics. This includes the event location,

type of event and how much time we have to prepare for the event.  Most of our clients recognize the value of having a complete production service company here at Royal Productions.  We can keep everything we do cost-efficient because we do everything in-house. We have established great working relationships with our clients for many years by producing magnificent shows within a very reasonable budget. We know what our clients expect and that gives us more room for creativity and innovation within their event parameters as opposed

We understand that cost is always an issue when you are in the process of planning any event, so we want to get it taken care of as soon as possible so that we can start work on the event itself, instead of preliminaries an. We will give you all necessary cost estimates in writing within a timely manner to get them approved and out of the way. We understand that your needs may change as your show develops and we are always prepared to roll with the punches and adapt quickly and efficiently to your financial needs.

Our artists and designers always begin working on proofs and samples before actual production begins, so that we can be sure that you will like what you’re going to see on the day of your event, before we make something that isn’t what you want. We provide a contract early in the game, along with a proposal for the event, which includes cost, so that both parties are protected and assured of the others’ commitment to follow through to completion with a quality production.

We go through several phases of pre-conference meetings on the phone, in person, and via email. This may seem redundant and tedious; however, anyone who has ever done a large event knows how important it is to make sure that everyone involved is on the same page. Our staff will take the time to make sure that what you are asking for is what you are getting and they walk you through your event to prevent critical errors that are easily overlooked.

Several days before your event, all the pieces start coming together to form your production, and our staff really kicks it into gear. Trucks are loaded carrying everything we will need. Our most highly skilled technicians are flown in from around the country to your event. The truck(s) haul the gear to the venue. Our people make final preparations with the venue staff and work out any glitches that may have been overlooked. Yes, even with all this preparation seemingly small oversights need to be dealt with on location.

Next, our crew unloads the gear and sets up the show for you. It is amazing to watch as a bland room is transformed into something magnificent! Then, we can start rehearsals, which are crucial.

Rehearsals pull together all the ins and outs of the event, making sure that everyone knows where everything is and how everything works and doesn’t work.  If there will be a glitch, or a stumbling block, everyone will be alerted before the event actually starts.  Although we have all spent countless hours toiling over the details of this event the actual presenters, actors, bands, etc. may not have. And even if they have, everyone still needs to get on the same page and work together in sync for a seamless event.

And then the show that we have all planned and worked so hard for happens.  It’s like magic to see all your effort pay off. Once again, we all see the reason that we have worked so hard and put so much of ourselves into this production, and the reason that we do all that we do here at Royal Productions. All of our combined efforts finally come to fruition and it is breathtaking! The lights go down. Videos roll. Bands play. Crowds are inspired. Presenters speak. CEOs lead their people. And the crowd never knows how hard we all worked to put together this dazzling production, just as it should be. Everything runs smoothly. And eventually, the much-anticipated show ends, we tear down, and everything is packed up and prepared to go wherever it needs to be, whether you want to keep it, or it goes back to our warehouses.

We always have a debriefing meeting shortly after any event that we produce, so that everyone has the opportunity to express their opinion on things that could be improved for the next event, share feelings on what did and didn’t work, and make your next event that much better. We make notes, compare them, and get ready to do it all again. Finally, we start preparing for the next event with you. And then we start getting ready for the next event.
